Event Delays, Rescheduling
Making a Reservation
To reserve your Event please make contact with our reservations department by call 512-417-3545 or filling out an initial information form. You must have a reservation with us to use our services. We do not offer walk in services. You must have a valid Texas marriage license 72 hours prior to your wedding.
Deposits
To reserve your Event you must sign an agreement and make an initial payment of (“Initial Payment”) of 50% or $300.00 for EIA services, whichever is more. The venue fee is separate and will be paid up front to either the venue or through EIA. Your wedding concierge will explain the process to you. No reservations will be made until the Initial Payment is processed. Management has the right to reduce this deposit upon request. Deposit Is Non-Refundable.
Venue Fee
All venues require separate payment. You will be advised of the amount and required to pay this fee separately from the EIA deposit. These fees are nonrefundable.
Balances
All remaining balances must be paid in full 30 days prior to the event date. Outstanding balances can be caused by the immediate cancellation of the event if not paid when notified. You will be sent an invoices to pay this amount.
No Refund Policy:
EIA does NOT OFFER REFUNDS ONLY CREDIT. If a client cancels or is canceled EIA does not offer refunds by cash or credit. We will issue a credit to the clients account for us on another date and time within 1 year of the cancellation date.
Cancellation Conditions
Client Cancellation
If Client chooses to cancel an event with EIA, Client must provide a 30 day written notice of intent to cancel. Emails are an acceptable form of notification. TEXT IS NOT AN ACCEPTABLE FORM OF CANCELLATION.
EIA Cancellation
If circumstances leave EIA unable to provide services due to weather, or any act or situation that is out of EIA’s direct control, the Client event may be canceled by EIA. All monies paid will be credited to the Client’s account for use at another date and time. No Cash or Credit Card Refund Is Available.
Government Cancellation
If the event is canceled due to governmental requirements either by local, state, or federal mandates, that specifically restrict EIA’s ability to materially provide services due to impossibilities, the Client may reschedule without penalty and without 30-day notice to EIA and all money will be credited to the clients’ account. Cancellation must be due to a mandate that affects EIA and Client locally and not due to outside factors that do not directly relate to an official mandate. This includes but is not limited to weather, travel restrictions, accommodations, guests not attending due to choice. If Austin is not affected by a shutdown mandate this clause will not apply.
Credit to Clients:
All fees paid in advance to EIA will be forfeited upon cancellation if proper 30-day notice has not to be given. No credit will be provided for Events canceled by the Client in this event.
Covid
Due to the unprecedented circumstances of the Pandemic COVID-19, EIA reserves the right to make any changes to scheduled wedding times or wedding count due to impossibility. The Client agrees that EIA will not be held liable for cancellations due to COVID-19. Should the scheduled wedding time occur during these unprecedented times, the Client assumes the risk of infection and EIA is hereby not responsible for a client or their guests contracting COVID-19.
Force Majeure
EIA will not be liable or responsible to Client, nor be deemed to have defaulted or breached this Agreement, for any failure or delay in fulfilling or performing any term of ANY Agreement when and to the extent such failure or delay is caused by or results from acts or circumstances beyond the reasonable control of EIA including, without limitation, acts of God, pandemic, epidemic, or quarantine, flood, fire, earthquake, explosion, governmental actions, war, invasion or hostilities (whether war is declared or not), terrorist threats or acts riot, or other civil unrest, national emergency, revolution, insurrection, lock-outs, strikes or other labor disputes (whether or not relating to either party’s workforce), or restraints or delays affecting carriers or inability or delay in obtaining supplies of adequate or suitable materials, or telecommunication breakdown or power outage (“Force Majeure Event”). The client’s sole remedy for an Event canceled due to a Force Majeure Event is to reschedule such an Event.
Refunds
All funds are non-refundable. EIA does not issue refunds, only credit to Clients’ accounts for use on another date.
Reschedules
The client may reschedule the event within one year and based on availability of EIA staff. CLinet must have given EIA at least 30 days Notice of cancellation to have a credit to use. Availability of dates for rescheduled Events will be determined at EIA’s sole discretion.
Prices Due To Client Cancellation
Client acknowledges and agrees that Venue and Package pricing may increase for rescheduled Events, and further agrees to pay any such increased fees upon re-contracting for services.
Event Delays
If the Client directly or indirectly causes an Event delay of 30 minutes or more, a $200.00 delay fee will apply, assuming EIA determines that it is able and willing to go forward with the Event. If EIA does not so determine, the Client forfeits all deposits and fees paid in advance to EIA and may not reschedule the Event. No refunds will be provided for Events canceled due to Event delays caused by the Client.
